Job Set Up… Be Consistent

Because we deal with a large volume of Underclass school jobs, it is important for our customers to understand our naming structure for jobs, databases and image folders.

Naming School Databases

We highly recommend that you name each school database the name of the school plus the school year for example:

Central High School 2016-17

or

Central High School 16

Some photographers keep databases from the previous year. By naming the database with the school year you will reduce the possibility of selecting the wrong database when creating your job.

Naming Image Folders

The main image folder should be the name of the school, i.e., Central High School. Within the main folder there should be sub folders that are numbered, usually according to how many photographers shot the job. For the first photographer, name the sub folder 0001. For the second photographer, name the sub folder 0002 and so on. You may also use this format if you only have one photographer but shoot on multiple days. Then import the sub folders numerically into DataMatch.

Naming Jobs

We have a very basic structure for naming Underclass jobs.

The original shoot should be named the school name with 01 added to the end
Central High School 01

Retake jobs should be named the school name with 99 added to the end
Central High School 99

One of the problems we encounter when you name your original job Central High 01 and then name your retake job CHS 99 is that when it comes time to merge the 2 jobs together it gets to be confusing if Central High and CHS are the same school. Consistency is very important!

End of School Year

At the end of each school year, late June, Century Color deletes all images from that school year. Once the images are deleted the job is no longer viable for orders. We highly recommend that photographers also delete all DataMatch jobs and databases no later than the end of July. This will allow for a clean start for the coming school year and eliminate confusion when building new jobs.
