Class Pictures… An Ordering Nightmare

Class photos can be ordered in the DataMatch job with the individuals or ordered separately. Most photographers order the class photos in DataMatch. It is important to understand what information is needed for the correct pricing and prints counts to be achieved. The information differs depending on how the job is sorted. Jobs with class photos can be sorted by either teacher or homeroom. Below is the information you need to input.

Sort by Teacher, Last Name

Jobs sorted by Teacher, Last Name must have the teacher's name in the "Teacher" field for each student. For the image of the class photo, the following information is needed: In the "First Name" field type in the word "class", in the "Last Name" field type in the teacher's name, in the "Teacher" field again type in the teacher's name. Accuracy counts, be sure the teacher's name is spelled exactly the same in both fields.

Sort by Homeroom, Last Name

Jobs sorted by Homeroom, Last Name must have the homeroom number in the "Homeroom" field for each student. For the image of the class photo, the following information is needed: In the "First Name" field type in the word "class", in the "Last Name" field type in the homeroom number, in the "Homeroom" field again type in the homeroom number. Accuracy counts be sure the homeroom number is exactly the same in both fields.

Class Photo Package Field

The code for ALL class photos is CP (short for class photo). Class photos are built as a 1-up 5x7, so enter the exact number of prints you need in the quantity field. If you need 23 class photos, enter 23 in the quantity field. Remember in the package field for class photos always use the code CP.

A.M. and P.M. Kindergarten Teachers

When working with kindergarten teachers that teach both an a.m. and p.m. class please indicate this in the "Teacher" field by using the teacher's name followed by a.m. or p.m.

This format should be used for each individual student in the "Teacher" field as well as in the "Teacher" field for the Class Photo.
