DataMatch Tips for a More Efficient Workflow
School Databases… Get Off to a Good Start
Getting all the right information in a school database is one of the most important components in insuring a successful and problem free Underclass season. The first thing you need to do is make a list of all the products you will be providing the school with to fulfill your contract agreement. This may include ID Cards, Yearbook CDs, Administrative CDs, School Directories, etc. It all starts with getting the right information in the school's database to produce these products.
Student Databases
When importing the student database into DataMatch, it is imperative that you map the fields in the database correctly. Most fields are easy to identify where they need to be mapped. DataMatch also has Custom fields that allow you to map fields that are less common such as Bus Routes or Library IDs. Please keep in mind that if the school asks you to include each student's bus route on their ID card, the school must provide you with that information. If the information is not included in the database, it will not appear on the ID card.
Staff Databases
Typically, staff is not included in the student database. If you are photographing the staff, (and in most cases you are) a separate staff database is needed from the school. Most staff databases include the First Name, Last Name and Teacher's Subject (i.e. Math). It is important to add a column with the field header "Grade" and populate that column with the word "Staff". If we've confused you, give us a call and we can explain it in more detail. Also, if they include the title Mr., Mrs. or Ms map that in one of the "Custom" fields.
